Church volunteer schedule template: a free printable rota
A good volunteer schedule answers three questions at a glance: who is on this Sunday, what job are they doing, and who do I call if they cannot make it.
What to include
- One row per Sunday (or per service, if you run more than one).
- One column per job: welcome, reader, prayers, sound, refreshments, and anything else you fill every week.
- A notes column for special services, baptisms or anything unusual.
- A contact list on the back, so swaps do not all go through you.

How to fill it without the usual headaches
- Ask for availability once a term. A short form with away dates and how often people are happy to serve saves weeks of messages.
- Publish six to eight weeks ahead. People plan holidays and family visits early.
- Count how often each person is on. If the same four names keep appearing, it is time to invite someone new.
- Agree a swap rule. For example: find your own swap, then tell the rota coordinator. It keeps the schedule accurate.
- Send a reminder a few days before. A short message on Wednesday or Thursday cuts down on no-shows.
